If you need to cancel or rearrange a session, please give me at least 24 hours' notice. Cancellations with less notice than this, and missed sessions, are charged at half the session fee.

I understand that emergencies happen. If something urgent comes up, tell me what you can and we will work it out.

This policy protects the time I set aside for you each week, and it works both ways: if I ever have to cancel a session, I will give you as much notice as I can and you will not be charged.

A cancellation fee is only reliably chargeable if the client agreed to it in writing before it applied. That is why this wording belongs in your counselling agreement, signed before or at the first session, not in a message sent after the first missed appointment. State the policy twice: once in the agreement, once in every booking confirmation. A policy nobody saw protects nobody, and the confirmation email is the one place a client is guaranteed to look before a session.

Be honest with yourself about enforcement. Most therapists apply discretion in practice, and chasing £35 from someone who missed a session because their week fell apart is rarely worth the rupture. The policy's real job is setting expectations, not collections, and deciding when to waive a fee is far easier when the default is written down and was agreed to.

One more honest note: automated session reminders cut late cancellations more than any fee does. The fee handles the leftovers.
